Why clients switch cleaning companies
Clients rarely leave because of one big mistake. Usually it is a build-up of small things that keep coming back: a bin that was not emptied, dust on the same windowsill, a meeting room that was forgotten. Each one seems minor, but after a few months the client feels they have to check for themselves what they are paying for.
If you want to keep your clients, you need to pick up those signals early and show that you act on them.
- Small problems that keep recurring
- A remark from the client that nobody responds to
- Constantly changing cleaners who do not know the location
- Little or no contact, except when the invoice arrives
- Uncertainty about what exactly is included
Make clear agreements for every location
Many disagreements start because the client and your cleaner expect different things. So write down for each location what needs to be done, how often and where. A specification or checklist per room makes it concrete: washrooms daily, inside windows monthly, kitchen after every working day.
A checklist like this also helps your cleaners. A replacement knows straight away what is expected, and when a complaint comes in you can refer back to what was agreed. Go through the checklist with the client at the start and update it when their needs change.
In Cleaniro you attach a checklist to every job. The cleaner ticks off the tasks in the app on their phone and can add photos as proof. That way you can see what was done without going on site.
Keep the same faces at each location
Clients really value knowing their cleaner. A regular cleaner knows the habits of the location, spots problems sooner and feels more responsible for the result. Every change means knowledge is lost and mistakes creep in.
You can never avoid changes completely: illness, holidays and staff turnover are part of the job. But you can handle them better. Assign a fixed back-up for each location, keep the checklist up to date and have the team lead accompany a new cleaner the first time. Let the client know when someone else is coming; that small gesture prevents a lot of irritation.
Check the quality yourself on a regular basis
Do not wait for the client to complain. Have a team lead or supervisor carry out regular inspections on site, using a fixed list of points and a simple score. That way you spot problems before the client does and can coach your cleaners in a targeted way.
What matters is that an inspection leads to action. Note what needs to improve, who will fix it and by when, and check at the next inspection whether it has actually improved. A consistent score also shows whether a location is getting better or worse.
Measure how satisfied your clients are
Many clients say nothing until they cancel. So ask for their opinion regularly with a short survey of one or two questions. The shorter it is, the more answers you get.
A well-known method is NPS, the Net Promoter Score. You ask a single question: on a scale of 0 to 10, how likely are you to recommend us to a colleague or friend? People who answer 9 or 10 are promoters, 7 or 8 means satisfied but not enthusiastic, and 6 or lower means dissatisfied. Subtract the percentage of dissatisfied clients from the percentage of promoters and you have your score. Even more important than the number: call every dissatisfied client and ask what could be better.
With Cleaniro Pro, these surveys go out to your clients automatically every month or quarter. A low score becomes a complaint with a three-day deadline, so someone follows it up. Nothing is sent to the client automatically: you decide how to respond.
Handle complaints quickly and close the loop
A complaint is not a disaster but an opportunity. A client who sees their remark followed up quickly and properly often has more confidence than one who never had anything to report. Things only go wrong when a complaint is left lying around.
Agree internally on how you deal with complaints:
- Acknowledge the complaint to the client the same day
- Assign it to one person with a clear deadline
- Fix the problem and look for the cause, not just the symptom
- Tell the client what you did and ask whether it is now resolved
- Check at the next visit that the problem has not returned
Show your work and talk to your client regularly
Cleaning is often invisible: when everything goes well, nobody notices. So make your work visible. A short report after a job, listing the completed tasks with a few photos, shows the client that the cleaning really happened. In Cleaniro the client can also rate that report; a score of 3 or lower automatically becomes a complaint you can follow up.
On top of that, schedule a short review meeting a few times a year with your larger clients. Discuss what is going well, what could be better and whether anything is changing in their organisation, such as a move, more staff or different opening hours. That keeps you one step ahead.
If you need to raise your prices, communicate early and openly. Explain why, for example higher wage costs or more expensive products, and announce it well in advance. A client who is happy with the quality and feels well informed accepts a price change much more easily.
Questions we often get.
Why do cleaning companies lose clients?
Mostly because of small recurring problems, remarks that are not followed up, constantly changing cleaners and poor communication. Rarely because of one big mistake.
How do you measure client satisfaction in cleaning?
With a short, regular survey. The NPS question of how likely the client is to recommend you, on a scale of 0 to 10, is simple and quickly gives you a picture. Combine it with your own quality inspections.
How quickly should you resolve a client complaint?
Acknowledge the complaint the same day and agree internally on a fixed, short deadline to resolve it. Then let the client know what was done.
How do you raise prices without losing cleaning clients?
Announce the increase well in advance, explain honestly why and make sure the quality is right. A personal conversation with larger clients works better than just a letter.
